The Department of Jobs and Small Business (formally the Department of Employment) is responsible for national policies and programs that help Australians find and keep employment and work in safe, fair and productive workplaces.  

The Department assists a number of stakeholder agencies within the jobs and innovation portfolio including, the Fair Work Commission, Fair Work Ombudsman, Safe Work Australia, Comcare, Asbestos Safety and Eradication Agency, Workplace Gender equality Agency and Fair Work Building and Construction.  

Problem

The Department of Jobs and Small Business needed an intuitive solution for recording interactions with partners and stakeholders. The solution needed to be accessible Department wide, provide the entire communications history for stakeholders and partners, be easy to use and have the capability to extend into other areas of the Department in the future. 

Outcome

Veritec worked with the Department to design, build and deploy its stakeholder engagement solution in an efficient four-week engagement.  

The departments key requirements for their stakeholder management solution were: 

  • Collect a wide range of information on every employer the department had contact with through a variety of touch points including; individual meetings, workshops, attendance at events, emails, internship registrations, and process the outcomes of these touch points 

  • Track a company and their groups, subsidiaries and peak body members i.e. for a company like Coles, the Department had contact details at a corporate level but also at regional and store levels and required the ability to link these relationships 

  • Contact multiple stakeholders at once with the grouping system implemented 

  • Run campaigns and communicate with employers 

  • The ability to save meeting records with other documentation when required 

Based on these requirements Veritec configured Microsoft Dynamics 365 as the stakeholder management solution for the Department. Previously the Department managed stakeholders through spreadsheets and sharing them via email to staff that required access, a very manual process. With Dynamics 365 the Department can now have 360 stakeholder view on a unified platform providing stakeholder information, representation and contact history at a click.  

The end solution provides the ability to track stakeholders, projects against those stakeholders, search and filtering capabilities with inbuilt template reporting to the Departments requirements.
